Create the workspace
Name it after the client, project or department it belongs to. Every account starts with one. More workspaces need a paid plan.
Add its monitors
The pages that belong to that piece of work, and only those. Their alerts, snapshots and history live inside the workspace from then on.
Invite the people who belong
Teammates, contractors and the client themselves. Each gets a role you define, and sees this workspace and nothing else in your account.
A workspace is a wall, not a folder.
Folders sort what everyone can already see. A workspace decides what exists for whom, which matters once somebody outside your company is in the account.
Everything that piece of work touches
Not a label on a shared list. A workspace holds its own copy of everything, so the work inside it stands alone.
- Its monitors, and the criteria and schedules on them
- Its alerts, so a change in one workspace never interrupts another
- Its snapshots and history, kept with the workspace they came from
- Its members, each with a role you define
Every account has a workspace from day one. More than one needs a paid plan.
The part you can promise a client
Adding somebody to a workspace is not adding them to your account. That is what makes it safe to put a client, contractor or freelancer inside one.
- People. A member of one workspace sees that workspace. The others are not listed, not searchable, not hinted at
- Monitors. Nothing crosses workspaces by default, and a page watched in two places is watched twice, on its own terms
- Alerts. Notifications reach the members of the workspace the change happened in, and stop there
- History. Snapshots stay with their workspace, so a client's export contains that client and nobody else
Set what each person can do with role-based access, and invite them from team members.
Who ends up needing more than one.
Agencies managing multiple clients
A workspace per client engagement, with that client invited into theirs and nothing else. Reporting on one account never means editing out the other 8: they were never in the export.
